Our terms for trades

  1. 1. What this is

    These are the terms on which Lintel Homes Ltd (company number SC898566, 93 George Street, Edinburgh EH2 3ES), "we", instructs you to carry out repairs, maintenance and other work at homes we manage. "You" means the trade named on our contractor register, whether a sole trader or a company.

    Being on our panel means we may instruct you. It does not promise you any amount of work, and it does not stop you working for anyone else. These terms apply to every job we instruct until either of us ends them under clause 11.

  2. 2. Before the first job

    We instruct you only once we hold four things: the scheme registration the work needs (Gas Safe for gas work; SELECT, NICEIC or NAPIT for electrical work; whatever your scheme requires for the rest), with its number and expiry; your public liability insurance certificate, with the insurer, policy number, cover and expiry; these terms, signed; and the bank account we pay.

    You tell us within five working days if a registration or policy lapses, changes or is renewed, and send the new certificate. While a registration or policy the work needs has lapsed, we instruct no work.

  3. 3. How a job reaches you

    Every instruction comes from us in writing, by email or WhatsApp from our office, with a job reference, the address, the tenant's contact details, access notes and the photos the tenant sent, so the first visit is not a fact-finding one.

    A request from a tenant or a landlord direct is not an instruction. Pass it to us, and we instruct it if it is ours to instruct.

  4. 4. Priorities and timing

    Each job carries its priority and the target the tenant was given: emergencies same day, urgent work within 3 working days, routine work booked with you, normally within 10 working days.

    Tell us the same day if you cannot meet the target, so we can tell the tenant or instruct someone else. A date you can keep beats a date we would like.

  5. 5. Quotes and the landlord's approval

    Work above the figure given on the job needs the landlord's approval before it starts. Send us the quote; we get the landlord's answer and tell you. You are never asked to chase a landlord yourself.

    Work started without the approval the job needed may not be paid for. In an emergency, make the home safe first, then tell us what you did and what remains.

  6. 6. On site

    Carry identification and say who you are. Keep to the appointment, or tell the tenant and us if you are running late. Treat the home and the people in it with courtesy. The tenant's details are for that job only.

    Keys collected from us come back the same day unless we agree otherwise. Leave the area clean and remove your waste. Do the work instructed; anything extra you find, tell us before you do it.

  7. 7. Standard of work

    Work is done to the standard the regulations and your scheme require, by someone qualified to do it, with suitable materials. Where the work produces a certificate, such as a gas safety record or an electrical certificate, it comes to us with the invoice.

    Defective work is put right at your cost.

  8. 8. Invoices

    One invoice per job, addressed to Lintel Homes Ltd, quoting the job reference and the address, with a photo of the finished work and any certificate the job produced, so the landlord sees what was done.

    We check each invoice against the job and tell you when it is approved for payment. An invoice that does not match the instruction is queried, not paid.

  9. 9. Payment

    Approved invoices are paid by bank transfer in our next payment run, to the account you gave us and we verified with you by phone, and we tell you when the payment has been sent.

    A change of bank account is confirmed with you by phone on the number we hold before anything is sent to it; we do not act on an emailed change alone. We do not pay cash, and you do not take payment from a tenant or a landlord for work we instructed.

  10. 10. Insurance and responsibility

    You keep public liability insurance in force for the whole time you are on our panel, and employers' liability insurance if you employ anyone. You are responsible for damage or injury caused by your work, and for your own people, tools and vehicles.

    We are responsible for instructing clearly, for getting the landlord's approval where it is needed, and for paying approved invoices.

  11. 11. Ending

    Either of us can end these terms by email at any time. Jobs already instructed are finished and paid as agreed.

    We may take you off the panel straight away if a registration or policy the work needs has lapsed, if work is unsafe, or if a tenant or landlord is asked to pay you direct.

  12. 12. Your information

    We keep your business details, registrations, insurance, bank details and job history on our contractor register, to instruct and pay you and to show landlords and tenants that the trades we use are checked. We give the tenant your name and number for the job, and the landlord where the work is theirs.

  13. 13. The law

    These terms are governed by the law of Scotland. Nothing in them makes you our employee, partner or agent.
